Stress this rule to communicate effectively
with board members
Betsy Miller-Jones, former executive director of
the Oregon School Boards Association, said there
is one thing to keep in mind about effective com-
munication with board members.
“Communicate clearly up front about what
kind, how much and when communication oc-
curs, setting clear, documented expectations.” said
Miller-Jones.
“Make sure everyone has the same understand-
ing about what is to be communicated. That will
go a long way to reduce conflict and any misun-
derstandings later,” said Miller-Jones.
Districts of different sizes and complexity have
both different needs for communication and ex-
pectation for detail, she said.“What is possible and
relevant in one is overwhelming and too much in an-
other, and not enough for a third,” said Miller-Jones.
Board members should all know what is ap-
propriate for them to know and what a reasonable
timeline is for notification, she said.
“They should also understand the limitations
and constraints of confidential information and
methods of communicating that information,” said
Miller-Jones.
When does information become public and why?
This is important for board members to under-
stand, she said.
“What are their responsibilities as board mem-
bers in handling confidential information?” said
Miller-Jones.
“And remember, communication is a two-way
street,” she said.
“Communication agreements between boards
and superintendents should include what the
superintendent should be able to expect from
board members to communicate to the superin-
tendent in order to create the ultimate objective:
No surprises.”
