CONFERENCE AND TRAVEL REQUESTS

(The attached form and the following procedure must be followed when there is a request to attend a conference or seminar.)

CONFERENCE/SEMINAR REQUEST FORM

Prior approval from the Board of Fire Commissioners, the fire chief and the fire district treasurer is required before attending a conference or seminar. The Board of Fire Commissioners has defined a conference or seminar as a form of training or education that is related to a fire district matter. This can include such things as informational seminars, educational seminars, skills training, or association meetings. To receive authorization to attend and be reimbursed actual and necessary expenses incurred by attending a convention, conference or school, it must be established that the event conducted is for the betterment of the fire district or the convention or conference of firefighters or firematic officers if determined to be to be of benefit to the fire district.

If approved, the approval will be noted on the bottom of the Fire District Conference Attendance Request Form.

Submit your request in sufficient time for the Board to act upon your request. As soon as you are aware of the conference/seminar, you should seek approval. This requires that you bring the item to the attention of the chief for initial approval. Upon approval of your initial request by the chief, an Attendance Request Form should be completed and forwarded to the fire district treasurer.

The fact that there is an amount in the budget is not consent for the attendance at the conference or seminar. All expenditures for and related to the conference will be verified by the fire district treasurer to guarantee sufficiency and availability of funds. When the fire district treasurer receives the Attendance Request Form, available funds will be checked. If sufficient funds are not available, the form will be rejected. Otherwise, the form will be forwarded to the fire district secretary for approval by the Board of Fire Commissioners at its next meeting. Upon approval by the Board of Fire Commissioners, the form is returned to fire district treasurer.

SUBMITTAL OF FORM

One form must be submitted to the fire district treasurer for approval for each conference and each attendee prior to attendance. It will be the fire district treasurer’s responsibility to submit the form to the Board of Fire Commissioners for approval. The fire district treasurer will...
